Aaroh Escapes (“AAROH”, “we”, “us” or “our”) is a limited liability partnership (LLP) based in Ahmedabad, Gujarat, India. We design and manage curated travel experiences, fixed-departure journeys, customized holidays and private retreats.
This Privacy Policy explains how we collect, use, share and protect personal information when you:
- visit aarohescapes.com;
- contact us through WhatsApp, email, telephone or social media;
- submit an enquiry or booking form;
- request a quotation;
- make a booking or payment; or
- participate in an AAROH travel experience.
By using our website, submitting your information or completing a booking after being provided access to this Privacy Policy, you acknowledge the practices described below.
Where affirmative consent is legally required, we will obtain such consent through an appropriate process.
1. Information We Collect
Depending on your enquiry, booking and travel requirements, we may collect the following information.
Identity and contact information. Your name, age or date of birth, email address, telephone or WhatsApp number, residential address and emergency-contact details.
Travel and booking information. Your selected journey, travel dates, accommodation and rooming preferences, transport details, dietary requirements, special requests and other information required to arrange your travel experience.
Identification information. Government-issued identification details or copies where required for:
- hotel or accommodation check-in;
- airline or railway reservations;
- permits and local permissions;
- age and identity verification;
- security requirements; or
- another legitimate travel-related purpose.
We will not ordinarily insist on Aadhaar where another acceptable identity document is sufficient.
Health and accessibility information. Information about allergies, medical conditions, medication, pregnancy, disability, mobility requirements, dietary restrictions or other circumstances that may reasonably affect your safety or travel arrangements. Please provide only information relevant to your trip.
Payment information. Payment amount, payer name, transaction reference, payment status, refund information and limited payment details received from our bank or payment-gateway provider. Payments are processed through authorised banking and payment-service providers. AAROH does not intend to store full card numbers, CVV codes, online-banking passwords or UPI PINs.
Website and communication information. We may collect technical information such as IP address; browser and device type; operating system; website usage; referral source; and cookie or analytics identifiers. We may also retain emails, WhatsApp messages, enquiries, feedback, booking communications and complaint records.
Photographs, videos and travel content. Photography and videography may form part of an AAROH experience. This may include individual, group, candid, destination, accommodation, activity and behind-the-scenes photographs and videos. The use of this content is explained in Section 6 of this Privacy Policy.
2. How We Use Your Information
We may use personal information to:
- respond to enquiries and prepare quotations;
- create, confirm and manage bookings;
- arrange accommodation, transport, tickets, guides, permits, meals and activities;
- communicate itineraries, payment reminders and travel updates;
- verify identity, age and traveller eligibility;
- manage dietary, accessibility, medical and safety requirements;
- process payments, cancellations and refunds;
- provide customer support;
- respond to emergencies, complaints and insurance matters;
- prevent fraud, duplicate payments and misuse of our services;
- maintain accounting, tax and legal records;
- improve our website, services and customer experience;
- produce and publish travel and brand content as described in this Policy;
- send marketing communications where permitted; and
- comply with applicable law and lawful directions.
We will not knowingly use personal information for a materially unrelated purpose without providing an appropriate notice or obtaining further consent where legally required.
3. Bookings Made for Other Travellers
Where you make a booking for another person, you confirm that:
- you are authorised to provide their information;
- the information provided is accurate;
- you have informed them about this Privacy Policy;
- you have informed them about AAROH’s photography and media practices; and
- where legally required, you have obtained their consent.
The person making a family or group booking is responsible for communicating relevant privacy, booking and media information to all travellers included in the booking.
A traveller who does not wish to appear in identifiable promotional content must follow the opt-out process described in Section 6.
4. When We Share Information
We may share only the information reasonably necessary to arrange, manage or support your travel with:
- hotels, resorts, homestays and accommodation providers;
- airlines, railway operators and transport providers;
- guides, trip leaders, photographers and local coordinators;
- activity, safari, retreat and experience providers;
- permit, ticketing and destination authorities;
- payment gateways, banks and refund-processing providers;
- website, CRM, cloud-storage and communication providers;
- insurers, emergency responders and medical providers where necessary;
- accountants, auditors, lawyers and professional advisers; and
- government, regulatory or law-enforcement authorities where legally required.
Travel-service providers may process information under their own privacy policies and legal obligations.
AAROH does not sell personal information as a standalone commercial product.
5. Marketing Communications
We may send information about new journeys, travel inspiration, offers and AAROH updates through email, WhatsApp, SMS or other available channels where legally permitted.
You may stop marketing communications at any time by:
- selecting the unsubscribe option in an email;
- replying “STOP” to an applicable WhatsApp or SMS communication; or
- contacting us at enquiry@aarohescapes.com.
Opting out of marketing communications will not stop essential booking, payment, itinerary, safety or service-related communication.
6. Photography, Videos and Promotional Content
Photography, videography and content creation are an integral part of AAROH’s travel experiences and brand storytelling.
AAROH, its team members, photographers, videographers, content creators or authorised partners may photograph or record travellers during a journey. This may include:
- group photographs and videos;
- candid travel moments;
- destination and landscape footage;
- accommodation and dining experiences;
- activities and local experiences;
- interviews, reactions and testimonials;
- behind-the-scenes content; and
- photographs or videos in which a traveller appears incidentally.
Traveller permission and opt-out
Before completing a booking, the Booking Customer will be provided access to this Privacy Policy and AAROH’s applicable booking terms.
By affirmatively accepting the Privacy Policy, Booking Terms or Media Notice during the booking process, and by participating in the travel experience, a traveller acknowledges and agrees that AAROH may photograph, film and record them and may use identifiable photographs, videos, voice recordings, travel reactions and related content for AAROH’s lawful promotional and brand-communication purposes, unless the traveller expressly opts out in accordance with this section.
This means that, after accepting the applicable notice, a traveller who does not want their identifiable photographs or videos to be used must clearly inform AAROH.
The traveller may opt out:
- during the booking process;
- by emailing enquiry@aarohescapes.com;
- by sending a WhatsApp message to +91 97270 27061 before the trip; or
- by informing the designated trip leader at the beginning of the journey.
An opt-out request should clearly identify the traveller and the relevant booking.
Where a traveller does not submit an opt-out request, AAROH may use content featuring that traveller for:
- the AAROH website;
- Instagram, Facebook, LinkedIn, YouTube and other social-media platforms;
- reels, stories, posts and travel films;
- digital and print advertisements;
- brochures, newsletters and presentations;
- media and public-relations material;
- promotional campaigns;
- event displays;
- travel catalogues; and
- other lawful online or offline AAROH brand communication.
AAROH may crop, resize, edit, subtitle, combine, reproduce, publish and adapt such content, provided that it is not used in a misleading, defamatory, unlawful or materially distorted manner.
The permission granted under this section is non-exclusive, royalty-free and worldwide. AAROH is not required to pay a separate fee or royalty for the permitted promotional use of such content.
Travellers who opt out
Where a traveller has properly opted out, AAROH will take reasonable steps to:
- avoid taking focused or individual promotional photographs of that traveller;
- avoid intentionally featuring that traveller in promotional videos;
- exclude, crop, blur or obscure the traveller where reasonably practicable; or
- not publish content in which the traveller is the primary identifiable subject.
However, the traveller understands that photography may still occur in shared, public and group environments.
AAROH cannot guarantee that an opted-out traveller will never appear incidentally in wide group photographs, crowd scenes, public locations, background footage, destination footage, or content captured independently by other travellers or third parties.
AAROH will nevertheless take reasonable steps not to use an opted-out traveller as the primary identifiable subject of AAROH’s promotional content.
Interviews and testimonials
Where AAROH conducts a focused interview, records a detailed personal story or attributes a written testimonial to a named traveller, AAROH may request additional confirmation before publication.
Reviews may be shortened or corrected for grammar, clarity or length, but their meaning will not be materially changed.
Withdrawal and future use
A traveller may request withdrawal of media permission for future use by contacting enquiry@aarohescapes.com.
A withdrawal request will apply to future use that remains within AAROH’s reasonable control.
Withdrawal will not ordinarily require AAROH to recall or remove:
- material lawfully published before the request;
- brochures or printed material already distributed;
- completed advertisements or campaigns;
- archived social-media posts;
- completed films or publications;
- material already shared or republished by independent third parties; or
- content retained for legal, safety, evidentiary or internal record purposes.
AAROH may, where reasonably practicable, stop using the relevant content in new promotional campaigns after receiving and verifying the withdrawal request.
7. Cookies and Website Analytics
Our website may use essential cookies required for security and website functionality; preference cookies; analytics tools; advertising technologies; and social-media technologies.
Where legally required, non-essential analytics and advertising technologies will be used only after an appropriate choice is provided.
You may manage cookies through the website’s cookie controls or browser settings. Certain website features may not function correctly if essential cookies are blocked.
A separate Cookie Notice may be published when Google Analytics, Meta Pixel or similar technologies are activated.
8. How Long We Keep Information
We retain personal information only for as long as reasonably necessary to:
- complete and administer the booking;
- provide customer service;
- manage refunds, complaints, insurance or legal matters;
- maintain accounting and tax records; and
- comply with applicable law.
Government-issued identification copies will be removed when they are no longer reasonably required for the relevant trip or legal purpose.
Health and medical information will be accessible only on a need-to-know basis and will be deleted when it is no longer required for trip safety, incident management or a legal obligation.
Photographs and videos may be retained for AAROH’s content library, archives and permitted promotional use, subject to this Privacy Policy and any verified withdrawal request.
Information may be retained for longer where a complaint, dispute, insurance claim, investigation or legal requirement remains unresolved.
9. Data Security
We use reasonable administrative, contractual and technical safeguards designed to protect personal information from unauthorised access, loss, misuse, alteration or disclosure.
These measures may include:
- restricted access to traveller information;
- password and account controls;
- secure payment-service providers;
- staff and contractor confidentiality requirements;
- controlled access to health and other sensitive information; and
- reasonable backup and security procedures.
No electronic system can be guaranteed to be completely secure.
Please do not send card PINs, banking passwords, UPI PINs or unnecessary sensitive documents through WhatsApp, email or other unsecured channels.
10. International and Cloud-Based Processing
Personal information may be processed in India or through technology and travel-service providers located in other jurisdictions.
For future international journeys, relevant information may need to be shared with overseas hotels, airlines, operators, authorities and other providers to complete the requested booking.
Such processing will be carried out subject to applicable Indian law and reasonable contractual or security safeguards.
11. Your Privacy Choices and Rights
Subject to applicable law and appropriate identity verification, you may request:
- access to information about your personal data;
- correction or updating of inaccurate information;
- deletion of information that is no longer required;
- withdrawal of an applicable consent;
- cessation of marketing communications;
- submission of a media opt-out request; or
- review of a privacy-related grievance.
Withdrawal of consent or submission of an opt-out request will not affect processing or publication lawfully completed before the request.
Where information is essential for a booking or required under applicable law, withdrawing consent may affect our ability to provide the relevant service.
We may retain information despite a deletion request where retention is required for accounting, taxation, safety, fraud prevention, dispute resolution or another legal purpose.
12. Third-Party Websites and Platforms
Our website and communications may contain links to third-party websites, payment platforms, social-media services and travel providers.
AAROH does not control the independent privacy practices of those third parties. Their own privacy policies and terms will apply when you use their services.
Content published on social-media platforms may also be shared, downloaded or republished by users outside AAROH’s control.

We aim to acknowledge a privacy complaint within 48 hours and resolve it as promptly as reasonably possible, subject to the nature and complexity of the request and applicable law.
14. Changes to This Policy
We may update this Privacy Policy where our services, technology, business practices or legal obligations change.
The updated version will be published on our website with the revised effective date.
Material changes may also be communicated through a website notice, email, WhatsApp message or another appropriate channel.
